BPLAN is a business planning, task management, project coordination, proof-of-work review, and team organization app for companies and their employees. This privacy policy explains what information BPLAN collects, why it is used, and how users can request deletion.

Information BPLAN Collects

BPLAN collects information users or company administrators provide, such as names, email addresses, phone numbers, company membership, departments, roles, task assignments, task details, proof-of-work submissions, chat messages, and account activity.

BPLAN may also store technical and usage information needed to operate the service, secure accounts, troubleshoot issues, audit activity, and maintain user sessions.

How BPLAN Uses Information

BPLAN uses user data to provide and improve its task, project, organization, proof-of-work, notification, AI/chat, and integration features. Data is used to show the right company workspace, assign and review work, synchronize selected integrations, provide support, protect the service, and comply with legal obligations.

Setsuna AI and Google Gemini

Setsuna is BPLAN's optional AI assistant. Certain Setsuna features use Google Gemini, a third-party artificial intelligence service provided by Google.

Before information is sent to Google Gemini, BPLAN asks the user for permission. If permission is not granted, the applicable AI request will not be processed. Users may withdraw this permission at any time from Settings by turning off “Setsuna AI data sharing.”

When a user chooses to use Setsuna and has provided permission, BPLAN may send Google Gemini information necessary to process the request. Depending on the feature being used, this may include typed or transcribed messages, relevant Setsuna conversation history, task-related information, and audio submitted through supported voice, recording, or live-call features.

This information may be processed to transcribe speech, interpret user requests and commands, provide conversational context, and generate AI-assisted responses. BPLAN may store Setsuna conversation history as necessary to provide conversation history and related Setsuna functionality.

Google processes information submitted through Gemini in accordance with its applicable terms, policies, and safeguards. Depending on the services and configurations applicable to BPLAN's use of Gemini, submitted content and generated responses may also be processed by Google for purposes described in Google's terms. Users should avoid submitting sensitive, confidential, or highly personal information through Setsuna.

Google User Data

Google access is optional and is requested only when a signed-in user chooses to connect Google features inside BPLAN. BPLAN uses Google user data only to provide the connected functionality requested by the user, and BPLAN does not sell Google user data.

  • Google email and OpenID: used to identify which Google account is connected to the user's BPLAN employee profile.
  • Google Calendar events: used to create and update BPLAN task events on calendars owned by the connected Google account.
  • Google Sheets read-only: used to read spreadsheet evidence when a task proof-of-work rule requires checking a Google Sheet.

BPLAN does not use Google user data for advertising. Users can disconnect Google Calendar from inside BPLAN, and they may also revoke BPLAN's access from their Google Account permissions.

Data Sharing

BPLAN shares information only as needed to operate the service, provide requested integrations, support company workspace features, comply with law, or protect users and the service. This includes Google Gemini only after a user permits Setsuna AI data sharing. BPLAN does not sell personal data or Google user data.

Retention and Deletion

BPLAN keeps user and workspace data for as long as needed to provide the service, meet business or legal requirements, maintain audit history, and resolve disputes. Users may request account deletion from the public Account Deletion page.

Security

BPLAN uses administrative, technical, and organizational safeguards intended to protect user data against unauthorized access, alteration, disclosure, or destruction.
